CSA Board Member Policy - Nomination Process and Term Length
At least one month prior to the AGM each year, CSA will open the nomination process and accept nominations for positions via email to secretary@camrosesoftball.ca. Nominations received will be reviewed by the existing board (at least three members). At this time the board will confirm returning board members and plan for the AGM voting process. The number of board positions will be reviewed, and available positions determined.
At the AGM, returning board members, nominations received, and open positions will be confirmed for those in attendance. For any open positions, if the number of nominations and returning members are greater than the positions available, a voting process will be carried out. Each family present at the meeting and in good standing with CSA may vote for the number of positions available out of the nominations received and returning members up for a new term. Voting will be done by ballot on paper with the votes removed from the room by three board members and counted. The nominee(s) with the majority of votes will be selected for the available positions. In the case of a tie those nominations will be redone and a new vote for the remaining positions carried out. The board members counting votes may not be related to any nominee or of the same household.
Once the voting process is complete, nominees must accept their position on the board and all remaining members of the association will be dismissed from the meeting and the AGM officially adjourned. Board members will remain to determine role specifics and next board meeting. The number of board positions may be adjusted by the existing board prior to the AGM (16 positions currently set as outlined below).
Age group coordinator positions will be one-year terms. All other board positions will be in effect for two full seasons, with positions alternating as follows:
Odd Years (2023, 2025, 2027, etc.)
Even Years (2024, 2026, 2028, etc.)
